President-Elect, President, and Past President
The President-Elect, President, and Past President positions are a series of linked two-year terms elected once for the full six-year commitment.

President-Elect
The President-Elect is a two-year position with the responsibility of contributing to the direction of ASPE and the fulfillment of its goals. The President-Elect will serve as President after the two-year term as President-Elect.
Functions:
- Participates as a member of the Board of Directors attending monthly Board of Director (BOD) meetings and special meetings as scheduled, both onsite (2-3 per year) and via teleconferencing.
- Participates as a member of the ASPE Executive Committee, attending monthly meetings via teleconferencing.
- Serves as President in the absence of the President. In the event of a vacancy in the office of the President, the President-Elect shall succeed and assume the role of President for the balance of the unexpired term.
- Reviews the ASPE By-laws in the second year of the term and makes recommendations for revision to the Board of Directors.
- Works with future host conference sites on strategic planning, adhering to ASPE conference guidelines.
- Assists with conference and meeting planning and production.
- Attends ASPE Annual Conferences, Membership Business Meetings, and related Board meetings.
- Attends AAMC annual meetings and other national and/or international medical education meetings, as possible, to promote ASPE.
President
The president of ASPE is a two-year position served after the President-Elect position has been successfully filled for two years. The general responsibility of the President is to oversee all ASPE events and projects and to contribute to the direction of the ASPE organization. The President will serve as Past President after the two-year term as President.
Functions:
- Participates as a member of the Board of Directors attending monthly Board of Director (BOD) meetings and special meetings as scheduled, both onsite (2-3 per year) and via teleconferencing.
- Participates as chair and member of the ASPE Executive Committee, leading monthly meetings via teleconferencing.
- Plans agendas for all BOD meetings and Executive Committee meetings, in conjunction with the Vice-President for Operations.
- Works closely with all Standing Committee Chairs regarding committee needs, issues and progress.
- Works closely with the Association Manager and the Executive Committee on all association details, including, but not limited to, the following:
- Taxes
- Legal issues
- Financial commitments & contracts
- General Problem-solving
- Oversees all meeting planning for annual membership meeting.
- Develops agenda (with the Vice-President for Operations) and conducts the annual Membership Business Meeting.
- Develops and implements planning for the achievement of the ASPE mission and the on-going goals of the organization.
- Continues to develop and support the organization'
s long-range vision.
- Arranges and chairs all planning and ancillary meetings of the BOD.
- Arrives at all meetings early for preplanning.
- Attends ASPE Annual Conferences, Membership Business Meetings, and related Board meetings.
- Attends AAMC annual meetings and other national and/or international medical education meetings, as possible, to promote ASPE.
Past President
The Past-President is a two-year term served following the completion of the President'
s term, with the responsibility of continuing to contribute to the goals and direction of the organization.
Functions:
- Participates as a member of the Board of Directors attending monthly Board of Director (BOD) meetings and special meetings as scheduled, both onsite (2-3 per year) and via teleconferencing.
- Participates as a member of the ASPE Executive Committee, attending monthly meetings via teleconferencing.
- Serves as chair of the Nominating Committee, coordinating planning and committee activities. Reports slate to the Vice-President for Operations.
- Responsible for communication, as needed, with Honorary Members and sponsors.
- Assists the President-Elect with ASPE By-laws reviews every two years.
- Assists with conference and meeting planning and production.
- Attends ASPE Annual Conferences, Membership Business Meetings, and related Board meetings.
- Attends AAMC annual meetings and other national and/or international medical education meetings, as possible, to promote ASPE.
- Fulfills other duties as requested.
Vice President for Finance
The Vice President for Finance is a two-year elected position. The Vice President for Finance holds financial responsibility for the association.
Functions:
- Participates as a member of the Board of Directors attending monthly Board of Director (BOD) meetings and special meetings as scheduled, both onsite (2-3 per year) and via teleconferencing.
- Participates as a member of the ASPE Executive Committee, attending monthly meetings via teleconferencing.
- Works closely with the Association Manager to develop the budget and track financial records for the organizations.
- Advises the BOD on budgetary and financial matters.
- Works with association manager and attorney/accountant to file taxes for the association. Keeps records of same.
- Chairs the Finance Committee for budget planning and implementations.
- Reports monthly to the Board of Directors regarding the financial status of the organization.
- Signs checks for the organization.
- Assists with conference and meeting planning and production.
- Attends ASPE Annual Conferences, Membership Business Meetings, and related Board meetings.
- Attends AAMC annual meetings and other national and/or international medical education meetings, as possible, to promote ASPE.

Vice President for Operations
The Vice-President for Operations is a two-year elected position. The Vice-President for Operations serves as the recorder of all ASPE official business, maintains the official records of the organization, and oversees all procedural aspects of the organization.
Functions:
- Participates as a member of the Board of Directors attending monthly Board of Director (BOD) meetings and special meetings as scheduled, both onsite (2-3 per year) and via teleconferencing.
- Participates as a member of the ASPE Executive Committee, attending monthly meetings via teleconferencing.
- Assists the President in planning agendas for all BOD and Executive Board meetings, including those held in conjunction with the annual conference or other professional meetings (AAMC, Ottawa, etc).
- Tracks organizational projects and activities to ensure that work is being conducted and board reports are made on a regular basis.
- Assists the President in arranging for all special board meetings (for conference planning, special projects or activities).
- Assists the President in planning the annual Membership Business Meeting held in conjunction with the ASPE annual conference.
- Prepares meeting minutes or notes (whichever is more appropriate) for all Board of Director and Executive Committee meetings, both regular and special.
- Prepares meeting packets (agenda, past minutes, attachments, draft documents) and e-mails them to board members and the association manager at least three days prior to the meeting. Sends approved minutes to the association manager for placement on the Board-only section of the ASPE website.
- Ensures that all organization operations are conducted in accordance with the ASPE bylaws.
- Conducts the yearly election process as specified in Article VI, Section 6 of the ASPE By-laws, using the slate/ballot developed by the Nominating Committee.
- Handles ASPE correspondence as directed by the BOD or the president.
- Assists with conference and meeting planning and production.
- Attends ASPE Annual Conferences, Membership Business Meetings, and related Board meetings.
- Attends AAMC annual meetings and other national and/or international medical education meetings, as possible, to promote ASPE.
Skills Required
Ability to:
- Excellent written and verbal communication skills.
- Excellent organizational abilities for file set-up and maintenance.
- Ability to set objectives and develop action plans.
- Ability to capture and record official ASPE business, disseminating it as necessary in a timely and routine manner.
- Attention to carry out elections and other projects in a timely and efficient manner.
